Built around how you work.
Not the other way round.

Quotes, invoices, clients and reporting in one place. One deal carries one reference from the first quote to the final receipt, and nothing gets retyped on the way between them.

One system, and one reference that follows the deal.

Most businesses run on four tools that do not speak to each other, plus one person whose real job has slowly become copying between them.

What a system covers

Quotes
Written, sent and tracked. You can see what is out, what came back and what went quiet.
Invoices and receipts
Numbered off the quote they came from, so a deal reads end to end without anyone reconstructing it.
Clients
One record per client with the history attached, instead of a spreadsheet and somebody's memory.
Documents
Filed where you will find them again, and where the right person can find them without asking you first.
Reporting
The numbers you actually run on, ready the moment you open it, with nobody losing a Friday afternoon to it.
Roles
Your team sees what they need to see. Not everything, and not nothing.
Your data
Exportable, in a plain format, on any day you ask, without a support ticket or a notice period.
Ownership
Your code, your database, your accounts. If we ever part ways, nothing is held hostage.

How a system gets built

  1. Scope

We sit with the person who actually does the job and walk three recent real cases. The written procedure is how it is supposed to go. Those three are how it goes.

  2. Build

A thin path end to end first, so you are clicking something real in week two rather than reading a status update.

  3. Before it goes live

Your real data, run beside the old way, until the new one is boring.

  4. Ongoing

It grows as the business does, and every change is quoted before it starts.

The quote on our home page came out of this system. It is a real one.

One record, two brands.

The back office
2019 Polo Vivo, white Entered by the owner. Once.

Show it on

  • Brand one
  • Brand two
Brand one
Brand two
One record, entered once, showing on whichever brand should carry it and live on both within five minutes. The car and the brand names here stand in for the real ones, and the two sites this actually runs on are futuredrive.co.za and drivediva.co.za.

This one runs a business. Ours.

  • vdmdigital.io

    VDM Digital

Quotes, invoices, clients and reporting for this agency, in one system. We built it for ourselves first, which is why we can tell you what it is like to live with rather than what it looks like in a demo.

  • futuredrive.co.za

    Future Drive and Drive Diva

Two brands, one back office. A car is captured once, ticked onto whichever of the two sites should show it, and live on both within five minutes. No developer, no deploy, no waiting for us. The monthly adverts work the same way, and the artwork can never be deleted by anyone, us included, because it is the only record of that month's price.

    A client platform

A system replacing a filing cabinet, a WhatsApp group and three spreadsheets. It is not live yet, so the work is described here without the client's name.

I cancelled my Zoho subscription. The quotes and the invoices run on my own website now.

What is your business running on?

Tell us the four tools and the person stuck in the middle of them. Twenty minutes, no pitch on it, and you leave knowing whether this is even worth doing.
